Sharing a Data Store

Control who can view, edit, or manage a Data Store by assigning permissions and managing user groups. Additionally, exclude or include specific users and revoke privileges as needed.

Permissions for a Shared Data Store

View Permission

When User A shares a Data Store with User B using View Permission, User B can:

  • View data store details

  • View the permission level of the data connector

Edit Permission

When User A shares a Data Store with User B using Edit Permission, User B can:

  • View, edit, and save data store details

  • View the permission level of the data connector

Please Note: Users with View or Edit permissions cannot re-share or delete the Data Store, regardless of their permission level.

Excluding Users

You can exclude specific users even when the Data Store is shared with a user group. This ensures that certain users, even within a group, do not have access to the Data Store.

Steps to Exclude Users

  • Navigate to the Manage Access window for the Data Store.

  • Under Grant Privileges, select the desired privileges using the checkboxes.

  • Go to the User Groups tab and select one or more user groups.

  • Switch to the Exclude Users tab.

  • Select the users you wish to exclude from accessing the Data Store.

  • Click Save.

Result:

  • The selected user group(s) will be listed under Granted Permissions.

  • The excluded users will be listed under Excluded Users.


Including Excluded Users

If a previously excluded user should regain access to the Data Store:

  • Open the Manage Access window for the shared Data Store.

  • Navigate to the Excluded Users list.

  • Select a user to include, then click the Include User icon.

  • A notification confirms that the privileges are restored for the selected user.

    • The Excluded Users list will be updated.

Result:

  • The excluded user is now included in the Granted Permissions and has access to the Data Store again.

Revoking Privileges

To revoke access to a Data Store for a user or user group, follow these steps:

  1. Navigate to the Manage Access window for the shared Data Store.

  2. In the Granted Permissions section, select the user or user group you want to remove.

  3. Click the Revoke Privileges icon.

  4. A notification confirms that the selected user/group has been removed from the Granted Permissions list.

Result:

  • The selected user or user group will no longer have access to the Data Store.

Notes & Tips:

  • User Group Sharing: You can share a Data Store with one or more user groups. The steps to share with User Group(s) are similar to sharing with individual User(s).

  • Exclude User Tab: This tab shows users within a selected user group to whom the Data Store has already been shared. Only users in the selected group are listed in this section.

  • Excluding users ensures you don’t accidentally share sensitive data with users who don’t need access, even if they belong to a shared group.

  • Revoking privileges for a Data Store is permanent for that user until re-granted; ensure you are removing access as needed.

  • Include User is useful when you want to re-enable access for a previously excluded user.

Troubleshooting

  • Revoke/Include actions not working: Ensure you have permission to manage access and that the Data Store is not locked by other workflows or policies.

  • Excluded user still has access: Refresh the Manage Access page and ensure the Save action was applied after Include or Revoke.

  • Multiple group sharing: Ensure you're selecting the correct user group(s) before excluding/including users.
