Sharing a Data Store Metadata
The Sharing a Data Store Metadata feature allows users to share a Metadata Store with others or groups for collaborative access, enabling controlled viewing, editing, and permission management.
The Sharing a Data Store Metadata feature allows users to share a specific Metadata Store with other users or user groups. This enables collaborative access to the metadata for viewing, editing, or managing permissions.
Sharing metadata ensures that the right users have the appropriate permissions to interact with data, while restricting access to those who should not view or modify it.
Best Situations to Use
Use the Sharing a Data Store Metadata feature when you want to:
Collaborate with other users or teams on data stored in a metadata store.
Grant specific permissions (view or edit) to users or user groups based on their roles.
Exclude specific users from accessing shared metadata, while including others.
Enable users to manage synonyms and metadata details collaboratively.
Not Recommended for:
Sharing metadata without reviewing permissions for appropriate access control.
Large-scale sharing where more complex permissions management is needed (consider using more granular control for enterprise environments).
Manage Access
Component Name: Assign a unique identifier for the metadata store.
Left / Top: Position the component on the dashboard canvas.
Height / Width: Define the size of the metadata store section.
Initial Visibility: Toggle visibility of the Data Store Metadata on the first preview.
Manage Access:
Share metadata with specific users or user groups.
Configure permissions (View or Edit) for those users.
Include or exclude specific users from the shared access.
Sharing Permissions
View Permission: Allows users to view the metadata details and synonyms.
Edit Permission: Allows users to view, edit, and save changes to the metadata and its synonyms.
Exclusion of Users: Exclude certain users or groups from accessing the shared metadata.
Steps to Share a Data Store Metadata
Share Metadata with Users or User Groups
Navigate to the Data Store Metadata list.
Select a Data Store Metadata from the list.
Click the Share Metadata Store icon.
The Manage Access window will open for the selected Data Store Metadata.
Select permissions for users using checkboxes (View or Edit).
The Users, User Groups, and Exclude Users tabs will appear.
Search for a user or user group using the Search bar.
Select the user or group using the checkboxes in the displayed list.
Click Save to store the changes.
A notification message will appear, confirming that the permissions have been updated.
Actions for Shared Metadata
View Permission: Users with view permission can only view the metadata details and synonyms.
Edit Permission: Users with edit permission can view, edit, and save metadata and synonym details.
Excluding Users from Shared Data Store Metadata
Navigate to the Manage Access window for the shared Data Store Metadata.
Select the Privileges for the users to manage access rights.
Navigate to the User Groups tab.
Select user groups to share the metadata with.
Navigate to the Exclude Users tab.
Select users to exclude from the group’s access to the data store metadata.
Click Save to update the exclusions.
The Excluded Users will appear in the Excluded Users section.
Including an Excluded User
In the Manage Access window, navigate to the Excluded Users list.
Select a user from the list.
Click the Include User icon to reinstate access for the user.
A notification will confirm the updated privileges for the included user.
Revoking Privileges
Navigate to the Manage Access window for the shared Data Store Metadata.
The Granted Permissions list will display the users and user groups with access.
Select a user or group from the list.
Click the Revoke Privileges icon to remove their access.
A notification message will appear, confirming the removal of access.
Example Use Case
Scenario: User A wants to share the Sales Data Store Metadata with User B, but only allows them to view the data.
Action: User A shares the metadata with View Permission and excludes another team member who does not require access.
User B can now view the metadata details and synonyms, but cannot make any changes.
