Restrict Data Access
Data access can be restricted for users passing the custom fields value through security module.
Pre-requisites:
The user must be able to access the dataset or data store to which the data access restriction is applied.
The necessary Custom Fields must be configured for the user account.
Restricting Data in a Data Set
Check out the illustration on restricting data access in a dataset based on the custom field value for users.
Navigate to the Security page.
Go to the Users section of the page.
Use the search bar to search for a specific user.
Select the user from the list.
Click the Edit action icon for the selected user.

The Update User page opens for the selected user.
Navigate to the Custom Fields section.
Provide value for the Skills custom field.
Click the Save option.

A notification ensures that the user is successfully updated with the selected custom field value.

Navigate to the Data Connectors option from the Data Center module.
Select a data connector from the displayed list of the Standard Connectors.
Navigate to the Data Sets list section and select a dataset from that list.
Click the Edit action option for the selected data set using the drop-down menu.

The Update page for the selected dataset will be opened.
Click the Validate option.
A notification message appears, and the table gets updated

The restricted data preview appears under the Preview section based on the selected skills custom field values. For example, the image below presents a data preview displaying only the Java skill value from the dataset.

Open the Security module.
Go to the Users section.
Use the search bar to search for a user.
Select the searched user from the displayed users list.
Click the Edit action icon.

The Update User page opens for the selected user.
Navigate to the Custom Fields section.
Provide value for the Skills custom field. Choose a value different from the one selected for the previous user.
Click the Save option.

A notification message ensures that the user is updated successfully.

Navigate to the platform Sign In page.
Provide the edited user's credentials.
Click the Sign In option to access the edited user's platform account.
Navigate to the Data Connectors option from the Data Center module.
Select a data connector from the displayed list of the Standard Connectors.
Navigate to the Data Sets list section.
Select the same data set and open the available actions for the data set from the drop-down menu.
Click the Edit option for the selected data set.
The Update page for the selected dataset will be opened.
Click the Validate option.
A notification message appears, and the table gets updated.
The restricted data preview appears under the Preview section based on the selected skills custom field values. E.g., the image below shows a data preview highlighting the Selenium skill value from the dataset.

Restricting Data in a Data Store
Users can restrict data display in Data Stores by specifying the Custom Field key under the Data Restriction section. The same Custom Field keys must be used in the Users section of the Security module to define the corresponding values.
Navigate to the Security landing page.
Go to the Users list.
Search for a specific user through the Search bar.
Select the searched user.
Click the Edit User icon for the selected user.

You will be redirected to the Update User page.
Do not assign any values to the custom fields at this stage. We will use 'Skills' as the dimension to display the complete dataset. Later in the process, we’ll configure a value for this same dimension to restrict the user’s data access.
Click the Save option.

A notification message ensures that the selected user is updated.

Navigate to the Data Connectors page under the Data Center module.
Select the Data Store option to view a list of all existing data stores. (If no data stores are currently available, you must create one before proceeding with the next steps to apply data restrictions.)
Select a data store from the displayed list.
Click the Ellipsis icon to get the drop-down menu.
Select the Edit option from the drop-down.

You will be redirected to the Getting Data page for the selected data store.
Click the Validate option to execute the query.
A notification message ensures that the query is executed successfully.
The Query Result section will display the data preview below.
Click the Save And Next option to proceed.
Navigate to the Data Restrictions tab.
Select a dimension using the Dimension drop-down.
Provide the same value to the User Property drop-down.
Click the Next option to proceed.

Navigate to the Schedule Data Refresh tab to schedule the data store refresh.
Click the Finish option to complete the data store update process.

A notification ensures the successful update of the data store.

Navigate to the platform Home page.
Select the All Files option to list all the documents below.
You may use the Filter option to filter out your search.
Select the Reports option from the filter menu.

Navigate to the specific Report you want to use for displaying data from the selected data store.

Open the selected Report to access the Design page.
Choose the appropriate dimension and measure to generate a View. Ensure that the selected dimension matches the custom field you have chosen —for example, the image below shows "Skills" as the dimension in use.
Since the user custom field was not configured with any value, the View displays all the skills.
Click the Save option to save the View to the report.

A notification ensures the View creation, and the View gets added to the final screen for a Report.

Navigate to the Security module.
Go to the Users section.
Search for the same user.
Select the searched user.
Click the Edit User icon.

You will be redirected to the Update User page.
Go to the Custom Fields section to get the list of custom fields.
Select the same custom field and configure it with a value for this user. For example, Java is the value used for the Skills custom field.
Click the Save option to apply and store the updates made for the user.

A notification message ensures that the user has been updated successfully.

Navigate to the Data Connectors section from the Data Center module.
Open the Data Store list to get all the existing data stores.
Select the same data store you had chosen earlier.
Click the ellipsis icon to access the drop-down menu.
Click the Edit option from the drop-down.

You will be redirected to the Getting Data page for the selected data store.
Click the Validate option to execute the query.
A notification ensures that the query has been successfully executed.
The Query Result section will display the sample data.
Click the Save And Next option to proceed.

Navigate to the Data Restrictions tab.
Use the Dimension drop-down to select the same custom field that has been provided with a value in the Update User page.
Put the same in the User Property field to map it for the user.
Click the Next option to proceed.

Navigate to the Schedule Data Refresh tab to schedule the data refresh time for the data store.
Click the Finish option to complete the data store update process.

A notification message ensures the successful update of the data store.

Use the Filter option to list down the existing Reports.
Select the report containing a View with the restricted data store, and click it to open.

You will be redirected to the report page.
The existing View will be modified with the configured value of the Skills custom field. For example, the View displays only Java skills data.

To view the customized data display in chart form, click on View to open it on the Design page.
